1 Introduction

The Intelligence Data Tracking System (IDTS), operated by Technoration Limited, is a secure, access-controlled platform designed for authorized personnel to manage intelligence records. This policy describes how personal and operational data is collected, processed, stored, and safeguarded within the system.

2 Data We Collect

IDTS processes two categories of data:

• User Account Data — name, email, role, login credentials, IP address, session timestamps, and activity logs of authorized operators.
• Intelligence Record Data — subject profiles, identity documents, attachments (images, PDFs, audio, video), geolocation coordinates, and any metadata entered during data-entry operations.

3 How We Use Data

All data within IDTS is used exclusively for:

• Creating, managing, searching, and retrieving intelligence records.
• Supporting OCR processing and AI-based analysis of uploaded documents.
• Audit trail maintenance, access logging, and operational accountability.
• System administration, role management, and security enforcement.

Data is never sold, shared, or transferred to third parties outside the authorized organizational structure.

4 Data Storage & Security

• All data is stored on secured servers with AES-256 encryption at rest and TLS 1.3 encryption in transit.
• Access is restricted via role-based permissions (RBAC) — only authorized users with valid credentials can access records.
• Uploaded files are processed through isolated background queues and stored in access-controlled storage.
• Regular security audits, penetration testing, and vulnerability assessments are conducted.
• Automated backups with geographic redundancy ensure data durability.

5 Data Retention

Intelligence records are retained indefinitely unless explicitly marked for deletion by an authorized Data Manager. User account data is retained for the duration of active employment or authorization. Upon deactivation, account data is archived for 5 years for audit compliance, then permanently purged.

6 User Rights & Access

• Authorized users may view and update their own account profile information.
• Data access, modification, and deletion requests for intelligence records must be routed through the designated Data Manager.
• All access and modification actions are permanently logged in the system audit trail.

7 Cookies & Browser Storage

IDTS uses essential cookies for session authentication and CSRF protection. Draft form data may be cached locally in the user's browser to prevent data loss during connectivity interruptions. No tracking cookies or third-party analytics are used.

8 Changes to This Policy

We may update this policy to reflect system changes or regulatory requirements. Significant changes will be communicated through in-app notifications. Continued use of IDTS after updates constitutes acceptance.
